Wilson McLaughlin House Committee
Minutes, January 5, 2006
Present were: Joe Baker, Susan Sellew, Evelyn Vallianos, Lew Scheffey, Cynthia Weber, Nora Hayes, Gige O’Connell, Gerry Shapiro, Shirley Olds.
The Agenda: 1. Fundraising sub-committee report; 2. Communication between sub- committees and the full committee; 3. Report of the Public Relations sub-committee; 4. Board development.
The minutes of the December 8, 2005 meeting were approved.
Committee organization: Minutes of each sub-committee meeting should be sent to the chair of that sub-committee and then to all of us on the full committee.
Fundraising sub-committee: Nora reported: Nora says there are 77 people now on our donor list. Lew feels there should be a name of the first wave of donors, perhaps on a plaque in the Wilson McLaughlin house, perhaps with the name of “founders”.
If we were to put a list of these names in the Monterey News, people would have to sign a permission slip to use their name. This would be a “kick-off”.
Gige will get the first page of our web site to Quick Print, the sheet to be part of the introductory packet.
Lew’s garden party will be May 13, 2006 from 4:00 to 6:00 p.m.
Nora will email us the papers she brought with her.
Joe reported for the Public Relations sub-committee that met on December 15, 2005.
Cynthia has written to the Berkshire Record for a news release.
Joe, Cynthia, Susan, Lew and Shirley met with Ellen Lahr of the Berkshire Eagle. She will do an article for a Sunday edition for us.
Susan says the Monterey News will give any advertising space we might need to us free.
Laurily Epstein will do a tag sale for us in connection with the weekend Cultural Council music/dance things. We will need items, posters and ideas for storage. The tag sale will be Saturday, September 2, 2006.
The Public Relations sub-committee will do our needs assessment.
Cynthia will ask Barbara Swann for a list of voters mailing addresses.
The Clerical sub-committee will need to meet. At the end of the year that committee will have to complete a form for the IRS. It will also need to get liability insurance for the FWMH Corp. It will probably cost about $1000.
Odds and Ends: Concerning board development, Nora will send for some material about it and then we will decide.
We will need a list of architects. There are 8 or 9 architects in the surrounding area.
Dennis Lynch will help with grant writing.
Joe has a mailing list on a data base of about 900 people.
Our next committee meeting will be January 19, 2006 at 7:00 p.m.
Our agenda will be sub-committee reports.
