Minutes, February 9, 2006
Present were: Gige O’Connell, Gerry Shapiro, Evelyn Vallianos, Lew Scheffey, Susan Sellew, Joe Baker, Shirley Olds
The minutes of our January 19, 2006 meeting were approved.
Fundraising report: Joe passed a donor list around for us to see. The donor release forms will be collected by the clerical committee.
There was a discussion of how volunteers will come on board the subcommittees. We thought it would be good to have them come to whole committee meeting for us to explain how we are going about things. Some things volunteers can help with will be selling tickets for the raffle of the quilt that the Monterey Quilters are making. The tag sale will also need a lot of work.
Steve Lewis is someone who would like to be involved and Joe is communicating with him.
Joe spent about two hours with Marion Simon recently. She said those who have given before can be some of our best donors. Marion may help with our May garden party. She thinks we are doing very well.
In asking people to the party (12 to l5 couples), they will be serious donors or fundraisers. We will need some graphics for the May Party. We will need phases of the project spelled out; we will need some firm costs, such as by September we will need x amount of money. We will invite our architect to the party. Lew says we should have a present for those attending the lawn party in May. We think a matted giclee print of one of Edith’s paintings in an envelope would be nice. Lew will look into the cost of this.
Building committee: Joe held three walk-throughs at the Wilson house. There were four architects for the first one, two for the second time and one for the third time. Two more architects have emailed Joe and would like a walk-through, too. Chris Vcek would like to submit a proposal. The architect’s retainer will be about $2,000. We may need some surveying done (Mike Parsons).
Our brochure will go out in March but separately from our survey questions. These questions will be followed by our phone calls to get answers.
Evelyn wondered what our next level of recognition will be after the seed money plaque. We will be thinking.
The Berkshire Taconic Foundation needs to know how we have spent their grant by September 1.
On March 7, we will have a public meeting for the people of the town at 7:00 pm. The public relations committee will determine the location.
Our agenda for our next meeting, Thursday, February 23, at 7:00 pm, will have our founders policy on it.
