Minutes, March 16, 2006
Present were: Evelyn Vallianos , Cynthia Weber, Gerry Shapiro, Susan Sellew, Joe Baker, Shirley Olds.
In thinking about our recent public meeting on March 16, 2006, Cynthia feels we should not have more public meetings at this time, but we will for an architect.
We read Nora’s letter of resignation and we felt she had some valid points for future procedure of our committee. Evelyn and Shirley will send a letter to Nora.
These are the people currently on the Fundraising Committee; Susan, Gige, Lew, Shirley, Tim Lovett and Laurily Epstein. Public Relations Committee is Susan, Cynthia, Joe and Laurie Shaw (who is new). The Building Committee is Joe, Jim, Gerry and Chris Vlcek (also new). The Clerical Committee is Evelyn, Shirley, Gige and new person, Debbie Mielke.
The list of possible fundraisers given to us by Lauily Epstein is: Carolyn Mendel, Tim Lovett, BJ and Pam Johnson, Marty Klein, Marty Chernoff, Chandler Crawford, Nancy Dynan, Jane and Allen Solomon, Stefan Grotz, Barbara Bonner, Maggie Leonard, Jamie Puntin, and Karen Allen.
Report from the Public Relations Committee – things to be done: Brochure mailing, write questionnaire, put questions on line, maybe place a box in Town Hall for answers. Susan will keep in touch with Linda Small. April 24 we will mail out brochures and have a stuffing party beforehand.
Preparations for May 13 lawn party: (l) Case statement (2) Drawings (architect’s) (3) Architect’s presentation (4) Maps (5) Budget materials (6) Survey results (7) Schedule of funding (8) Committee description – the WMHC (9) Presentation materials – charts etc. (10) Wilson prints (11) Grant reports – Linda Small (12) Tag sale – publicity all summer.
We will have chosen the architect by March 31.
We will need an investment committee before too long.
The town will manage the community center after the building is complete and it will also be in charge of future construction.
Building Committee report: Five architects submitted proposals. The five people are very different. The Building Committee had chosen 3 of the 5 to be interviewed. Clark and Green proposal is very impressive. They are local builders. They have a number of people on their team. Steve McAllester of C&G is very interested in green construction. (2) David Bixby of Stockbridge doesn’t want to gut the building, has much experience. (3) Bill Devlin has a single person office in Springfield. He also does not want to gut. Not much experience with green.
The Clerical Committee will set the date for FWMH Corp to have our annual meeting of the Board. We will need at least 4 weeks advance advance notice. The Clerical Committee was reported by Evelyn. For bulk mailing $160 for application and yearly $160. We have to use it at least once a year. 250 pieces at one time. We can print envelopes. Our mailing list is 900. We will have at least 2 mailings this year.
Joe will send us a time line for each committee.
